But also enhance Monterra’s community life through their unique talents and perspectives. This diversity enriches community projects, leading to innovative solutions and a more vibrant neighborhood.
Role Descriptions for Key Volunteer Positions
Numerous committees and roles exist for non-board volunteers on an annual basis.
Volunteers may serve for one year or notify the Board of their interest to continue volunteering in each or any subsequent year. The HOA Voting Board Members appoint volunteer positions each subsequent year. All Homeowners in Monterra are encouraged to volunteer for one or more positions, and although the focus here is on non-board volunteers, board members are also encouraged to participate in any volunteer role.

COMMUNICATIONS COORDINATOR
The Communication Coordinator is part of the heartbeat of the community by keeping all HOA members informed concisely through Electronic Communications and collaborating directly with the HOA Board to provide clarity and encourage community participation.
Key Notes:
- Creates Electronic Email Broadcasts otherwise known as an Eblast.
- Provides valuable information from the HOA Board
- May include HOA Community Events & Activities, Monthly Calendar, HOA Monthly Board Meeting Minutes, HOA Monthly Financial Report and other Monterra HOA and Monterra Division related information.
WEBSITE ADMINISTRATOR
The Website Administrator is another part of the heartbeat of the community by keeping all HOA members informed concisely through Website Internet Access and collaborates directly with the HOA Board to provide clarity and encourage community participation.
Key Notes:
- Effective communication, website, and electronic knowledge
- Uploads and Provides Up to Date Documents, Forms and Valuable Information
- Assures the monthly calendars are up to date and running smoothly.
- Provides required monitoring and maintenance as needed.
- Supports HOA Members with access concerns or issues.
- Collaborates directly with the HOA Board.
CLUBHOUSE MANAGER
Clubhouse managers are pivotal to life here in Monterra. Primarily responsible for the day-to-day operations of the community clubhouse, including managing reservations, maintaining cleanliness, ensuring compliance with HOA rules, and providing excellent customer service to residents using the facility, often overseeing tasks like scheduling rentals, supporting volunteers, and coordinating maintenance needs within the clubhouse space.
Key Notes:
Facility Management:
- Coordinating with volunteers & vendors for maintenance services
- Supports & Schedules clubhouse volunteer cleaning crews, maintenance, and other clubhouse committee positions, including cleanliness and appearance.
Reservation Management:
- Taking and managing private reservations for clubhouse usage
- Reserving, Scheduling, Coordinating events with residents.
- Ensuring compliance with HOA rules regarding clubhouse usage
Financial Management:
- Notifies the board of non-scheduled repairs and maintenance requirements.
- Managing clubhouse budgets and ensuring cost-effective operations
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
Compliance and Reporting:
- Enforcing HOA rules and regulations within the clubhouse
- Maintaining accurate records and reports regarding clubhouse
- Communicating important updates and policies to residents
CLUBHOUSE COMMITTEE
Note: Each position may be held by multiple people and/or a single person may hold multiple positions
Social Events & Activities Coordinator [and/or Committee]
The Activities Coordinator plans and executes community events and activities for holidays, celebrations, potlucks, and other clubhouses and off-site activities and events. Strong organizational skills, communication and creativity are essential for this role. The coordinator assures that the Clubhouse Manager & community are notified of events and activities timely through newsletter, events calendar, eblast or hard copy communications. The role works with the Clubhouse Manager in scheduling events & reserving the clubhouse for regular repeat, one-time and dedicated events. An activities Budget if applicable may be established annually; spending must be approved prior to making the purchase. May be held by multiple people and/or a single person may hold multiple positions.
Key Notes:
- Works directly with the Clubhouse Manager
- Reserves dates and times for events and activities through the Clubhouse Manager
- Plans, collaboration and executing community events held at the clubhouse.
- Setting up and managing event spaces within the clubhouse
- Scheduling events and coordinating with residents on event details
- Provides announcements of events & activities in a timely fashion in advance of the event with the community via HOA Communication methods.
- Ensuring compliance with HOA rules regarding clubhouse usage
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
Clubhouse Cleaning Crew:
May be held by multiple people and/or a single person may hold multiple positions. Cleaning the clubhouse has a vital role in providing an enjoyable and safe environment.
Key Notes:
- Works with the Clubhouse Manager with a cleaning schedule, for the betterment of the interior and exterior, including furniture, appliances, bathrooms, kitchen, and communal areas of the Clubhouse.
- Notify the Clubhouse Manager when cleaning supplies are required. Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
- Notifies and recommends major repairs and maintenance to the Clubhouse Manager and Executive Voting Board beyond the budgeted scope of the position.
Clubhouse Landscaping/Gardening/Exterior Care:
May be held by multiple people and/or a single person may hold multiple positions.
Exterior aesthetics are vital to the enjoyment of the community as a whole and are important to HOA Homeowners & Property Values.
Key Notes:
- This position works with the Clubhouse Manager by scheduling regular gardening, landscaping and other exterior duties that may be required.
- Provides Reimbursement/Expense Reports to the Treasurer for approved expenses. Notifies and recommends major repairs and maintenance to the Clubhouse Manager and Executive Voting Board beyond the budgeted scope of the position.
Clubhouse Building & Grounds Maintenance:
The maintenance of the building, interior and exterior is vital for safety and environment. May be held by multiple people and/or a single person may hold multiple positions.
Key Notes:
- Assuring that interior and exterior light bulbs are replaced.
- Regular inspections, repairs and maintenance for the interior and exterior of the clubhouse.
- Coordinate with the Clubhouse Manager to schedule regular and seasonal maintenance and service.
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses. Notifies and recommends major repairs and maintenance to the Clubhouse Manager and Executive Voting Board beyond the budgeted scope of the position.
Clubhouse Decorating
Decorating is essential whether it is for events, seasonal, holiday and for daily enjoyment. Decorating volunteers coordinate with the Clubhouse manager regarding aesthetics, purpose, and usefulness of the decorations. May be held by multiple people and/or a single person may hold multiple positions.
Key Notes:
- Event decorations must be removed within 24 hours prior to the next event; whichever comes sooner.
- Seasonal & Holiday decorations must be removed 7 days after the season or holiday has passed.
Librarian
The donation-based HOA Library strengthens community connections and provides free access to books. The Librarian is an active steward who keeps the library clean, organized and accepts book donations. Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses. Notifies and recommendations for major repairs and maintenance to the Executive Voting Board beyond the budgeted scope of the position.
Key Notes:
- Libarian maintains bookshelves, order, and rotation of books. Librarian keeps the Clubhouse Manager updated on any news, questions, or other concerns.
- Books must be in good standing condition.
- Donated items become the property of the HOA library and are not returnable.
- May be rotated to manage and provide new titles as needed.
Community Outreach
This role is vital for care and support for the HOA community by offering messages of care and support through messages of goodwill such as Get-Well, Condolences and other situations, occasions, and other appropriate circumstances on behalf of the HOA Community & Board. May be held by multiple people and/or a single person may hold multiple positions.
- Clubhouse Manager and Community Outreach work hand in hand and communicate with each other for timely outreach. Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses. Notifies and recommends major repairs and maintenance to the Executive Voting Board beyond the budgeted scope of the position.
Detail Flag(s)
Flag(s) Detail and Clubhouse Manager work hand in hand and communicate with each other when appropriate. Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses. Notifies and recommends major repairs and maintenance to the Executive Voting Board beyond the budgeted scope of the position. May be held by multiple people and/or a single person may hold multiple positions.
Key Notes:
- The national flag should be flown highest, first to be raised and last to be lowered.
- The flag(s) should not touch the ground or anything below it.
- The flag(s) should not have any markings, drawings, or insignia.
- The flag(s) should only be displayed from sunrise to sunset OR
- The flag(s) should be illuminated if displayed at night.
- The flag should be taken indoors during inclement weather unless it is made of weather-resistant material.
- On Memorial Day, the flag should be flown at half-mast until noon, then raised to the top of the flagstaff until sunset.
- Follows all Half-mast requirements for Community, City, County, State and Federal mandates.
MAINTENANCE/GROUNDS MANAGER
The Maintenance/Grounds Manager oversees recurring and new maintenance and repairs for HOA Clubhouse, interior or exterior, Storage Units, Street Lights, Greenbelts, Easements, Open Areas, and Spaces.
Key Notes:
- Notifies and recommends major repairs and maintenance to the Executive Voting Board
- Prioritizes and provides approved repairs, service, and maintenance when and where appropriate.
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
MOWING CREW MANAGER
The Mowing Crew Manager coordinates and schedules with volunteer crew members to provide & maintain HOA Greenbelt, Easements, Open Areas, and Spaces. Inspects and provides regular and seasonal mowing.
Key Notes:
- Crew Volunteers work with the Mowing Manager directly.
- Manager provides Schedules & Assignments for Crew 6
- Fuel
- Crew Volunteer Training
- Provides Mower Repair & Maintenance as appropriate.
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
- Informs the HOA Board of expenses related to Service, Repair or Maintenance by an outside source for HOA Board approval.
- Equipment not for private property use
RV STORAGE LOT MANAGER
This position manages and follows the rules set forth in the governing documents of the Monterra HOA regarding storage guidelines. The RV Storage Lot is a fee-based fenced reserved space on a first come first served basis.
Key Notes:
- Receives RV Storage Lot Rental Agreement/Reservation & Yearly Fee in advance.
- Issue keys upon receipt of a $5.00 key deposit.
- Assign the storage space to the parking space.
- Provide Rules and Regulations forms to each space renter.
- Maintain & Service the Lot grounds, fence, lighting, or other needs.
- Provides Reimbursement/Expense Reports within the same month of the expense to the Treasurer for approved expenses.
- Notifies and recommends major repairs and maintenance to the Executive Voting Board beyond the budgeted scope of the position.
NEWSLETTER EDITOR
Strong organizational and communications for gathering information, writing content, and editing a regular newsletter to keep residents of a homeowner’s association informed about community updates, upcoming events, maintenance projects, important announcements, and other relevant news, acting as a primary communication channel between the HOA board and residents.
Key Notes:
- Content gathering to collect information from HOA board members, committees, and other sources to compile relevant news for the newsletter.
- Writing and editing, composing engaging and informative articles, ensuring clear and concise language suitable for a diverse readership.
- Layout design and organizing content within the newsletter format, including visuals like photos and graphics to enhance readability.
- Proofreading is important to thoroughly review each issue to ensure accuracy and eliminate errors.
- Approval prior to distribution is required, send the final proofread article to the President and Vice-President of the HOA board or the approved representatives for final edits and approvals.
- Notification of approval will be provided.
- Provide the Newsletter to the Communication Coordinator for Email Broadcast / Eblast.
